1. Who we are

Klipwerks ("we", "us", "our") is a website design service based in the Free State, South Africa. We build direct-booking websites for guesthouses, B&Bs, and self-catering accommodation. Our contact details: hello@klipwerks.co.za, +27 83 783 4407.

2. What information we collect

We collect personal information that you provide voluntarily through our contact form, WhatsApp, email, or phone:

From enquiries: Your name, business name, phone/WhatsApp number, email address, location/town, and any message content you provide.
From clients: Business details, photos, logos, text content for your website, invoice and payment information (processed via third-party payment gateways — we do not store card details).
Automatically: Standard server logs (IP address, browser type, pages visited) and basic analytics data. We use privacy-friendly analytics that do not track individuals across other websites.

3. Why we collect it (lawful basis)

We process your personal information for these legitimate business purposes:

To respond to your enquiry and provide a quote (you asked us to contact you).
To build, host, and maintain your website if you become a client.
To send invoices and process payments.
To communicate with you about your project or service.
To improve our website and services.

We do not collect more information than is necessary for these purposes.

4. How we use your information

We use your information to:

We do not sell, rent, or share your personal information with third parties for marketing purposes.

5. Who we share it with

We only share information with service providers who help us operate:

Hosting provider: Where your website and its data are stored.
Payment gateway: To process invoice payments (Yoco, Payfast, or similar). Card details are handled entirely by the gateway — we never see or store them.
Email provider: To send transactional emails (receipts, account invites).

We may disclose information if required by law or court order.

6. How long we keep it

Enquiry data: Deleted if you do not become a client within 12 months of your enquiry, unless you ask us to keep it.
Client data: Kept for the duration of our service relationship, plus 6 years for tax/invoice records as required by SA law.
Analytics/server logs: Retained for a maximum of 90 days.

7. Your rights under POPIA

You have the right to:

Request access to the personal information we hold about you.
Request correction of inaccurate information.
Request deletion of your information (subject to legal retention requirements).
Object to processing of your information.
Withdraw consent for direct marketing at any time.
Lodge a complaint with the Information Regulator if you believe your rights have been violated.

8. Direct marketing

We may contact you via WhatsApp, email, or phone in response to your enquiry or if you have expressed interest in our services. We will not send unsolicited marketing messages. You can opt out at any time by replying "STOP" or emailing us, and we will remove you from our contact list.

9. Security

We take reasonable technical and organisational measures to protect your information:

HTTPS encryption on all pages.
Secure hosting with access controls.
No storage of payment card details.
Limited internal access to personal data.

10. Cookies

We use minimal cookies for essential site functionality. We do not use third-party advertising or tracking cookies. Analytics are collected in an aggregated, anonymised form.

11. Children's information

Our services are directed at business owners. We do not knowingly collect personal information from children under 18.
